Stock Controller

At Manuchar, the purpose of the Stock Controller is to administer effective stock control practices. Maintain a steady control of receiving; dispatching and effective communication with customers & internal stakeholders.

The job

Receiving

  • Ensure all receiving notification are timeously obtained from various departments & customers.
  • Generate a hardcopy file with all necessary documentation per shipment and register onto BC were required.
  • Track shipment/truck arrival dates and communicate to operations team.
  • Work closely with the warehouse team to oversee the efficient receipt, storage.
  • Any non-conforming products received, needs to be co-ordinated by Stock Controller i.e., cargo to be physical inspected and photographed and communicated to the respective customer within 12 hours of receipt.
  • Ensure that all stock is properly labelled and stored.

Stock Control

  • Capture all receipts onto intake schedule and formulate stock reports per customer.
  • Generate accurate reports on stock level.
  • Update Production schedule.
  • Daily reporting of Stock on Hand to customers & various departments before 10:00am.
  • Maintain accurate records of all stock movements.
  • Manage inventory and stock levels for the warehouse.
  • Identify and report any stock shortages or issues.
  • Liaise with suppliers and customers regarding stock levels and collections.
  • Implement and maintain efficient inventory control procedures, including stock rotation, first-in-first-out (FIFO) principles, and proper storage practices in line with customer specifications.
  • Monitor and track slow-moving or obsolete stock, by formulating a stock age analysis which enables efficient control of aging stock.
  • Update online folder throughput.
  • Update online folder SQM Utilisation.
  • Verifying shipments handled for the month and preparing invoicing schedules.
  • Validating figures and complying invoicing schedules for 3pl at wisely and external warehouse.
  • Invoicing all 3pl clients at wisely and external warehouses.
  • Open business cases’.
  • Closing off shipments on the online shipment registers from active to closed.

Administration

  • Follow up on pre-payments with finance also ensuring that all funds are received prior to deliveries and invoiced accordingly, and proper Internal process has been followed between warehousing/transport staff and finance department.
  • Ensure that all purchase orders are received from clients prior to dispatching, checking all conditions are satisfying.
  • Accurate processing of sales orders and quotes to customers.
  • Follow up on all stock levels of relevant products and monitoring of incoming shipments to fulfil customer requirements as per sales forecast.
  • Accurate invoicing of orders within 24 hours, posting of invoice groups on the ERP system and emailing invoices to customers in a timely manner to meet Finance procedures.
  • Avoid any order processing mistakes in terms of product grade, weighbridge quantity, batch numbers as per FIFO rules, pricing, delivery date, etc.

Dispatch

  • Ensure all dispatching notifications are timeously obtained from various departments & customers.
  • Generate a hardcopy file with all necessary documentation per shipment and register onto BC were required.
  • Track shipment/truck dispatches dates and communicate to operations team.
  • Work closely with the warehouse team to oversee the efficient dispatch of cargo in line with customer specifications.
  • Update Stock Report in line with dispatches and communicate to various customers before 10:00am.
  • Scan delivery notes and compile export packing list were applicable and submit to customer before 10:00am.
  • Follow up with clients for payments: call or email 3PL clients to find out when payments will be made.
  • Compile storage charges for 3pl warehouse for them to send us invoices for us to send to procurement to raise a PO.

Procurement

  • Support the purchasing team with adherence to procurement policies when requesting purchase order creation.

Invoicing

  • Ensure all completed Business Cases are invoiced timeously within the month of completion.
  • This is to ensure revenue/expenses are apportioned within the month.
    Compile Accrual & Deferral Provisions.

Stock Counts

  • Conduct cycle counts daily/weekly.
  • Ensure a monthly stock count per customer is concluded and reported to management.
  • Investigate and report any discrepancies immediately.
  • Be organised and ensure the efficient running of Stock Counts and investigations.

Reporting

  • Compile Monthly Throughput & Square Meterage Report.
  • Any other report required by the business.

SHEQ

  • Ensure good housekeeping practices are always maintained by the team when handling customer goods.
  • Demonstrate through actions the importance of Safety.
  • Comply with site waste management procedures.
  • Enforce relevant Site Safety Policies & Rules.

Your profile

  • Minimum: Matric Certificate
  • 1 – 2 years similar experience
  • Computer Literacy and Excel experience required
  • Analytical, accurate and attention to detail is critical
